Word 2007: Ways to Secure a Document

Entire documents can be protected with just one click of your almighty mouse. And, protecting your document is what prevents other users from modifying it. As an added benefit, you can assign different levels of protection depending on what you want to disable for others viewing your work.

As you already saw in a previous lesson on forms, you can set up protection in a document that only allows a user to enter data into form fields.

You can also enable set restrictions to only allow editing of:

     
  • Tracked Changes
     
  •  
  • Comments
     
  •  
  • Read Only
     

Allowing Tracked Changes Only

This includes comments as well as insertions, deletions, and moved text.

     
  1.  Choose the Protect Document command in the Protect group on the Review tab
     
  2.  
  3. Choose Restrict Formatting and Editing

    3.       Select the checkbox next to Allow only this type of editing in the document:

    4.       Select Tracked Changes from the drop-down

    5.       Click Yes, Start Enforcing Protection

    6.       Enter a password (if desired)

    7.       Click OK

Allowing Comments Only

     
  1. Choose the Protect Document command in the Protect group on the Review tab
     
  2.  
  3. Choose Restrict Formatting and Editing
     
  4.  
  5. Select the checkbox next to Allow only this type of editing in the document:
     
  6.  
  7. Select Comments from the drop-down
     
  8.  
  9. Enter a password (if desired)
     
  10.  
  11. Click OK
     

Not Allowing Changes of Any Type

     
  1. Choose the Protect Document command in the Protect group on the Review tab
     
  2.  
  3. Choose Restrict Formatting and Editing
     
  4.  
  5. Select the checkbox next to Allow only this type of editing in the document:
     
  6.  
  7. Select No Changes (Read Only) from the drop-down
     
  8.  
  9. Enter a password (if desired)
     
  10.  
  11. Click OK
     

Turning Off Protection

     
  1. Choose the Protect Document command in the Protect group on the Review tab
     
  2.  
  3. Choose Restrict Formatting and Editing
     
  4.  
  5. Click Stop Protection
