Word 2003: Working with Line & Paragraph Spacing

Many people confuse Line and Paragraph spacing. And, it’s easy to understand way. Both options are actually set within the same dialog box.

However, many options that have to do strictly with paragraphs are contained on the Formatting toolbar.



Line Spacing

You’ve probably heard of single spacing and double spacing. Well, that’s what Word calls “Line Spacing.” And, you actually have a few additional options, as well.

Changing Line Spacing
     
  1. Select the paragraphs you want to change
     
  2.  
  3. Click the arrow on the Line Spacing command on the Formatting toolbar
     
  4.  
  5. Choose the appropriate line spacing
     
Customizing Line Spacing
     
  1. Select the paragraphs you want to change
     
  2.  
  3. Click the arrow on the Line Spacing command on the Formatting toolbar
     
  4.  
  5. Choose More…
     
  6.  
  7. Under Line spacing, set your desired spacing
     
  8.  
  9. If required, adjust the At box
     
Changing Line Spacing Using the Keyboard
     
  1. Select the paragraphs you want to change
     
  2.  
  3. Press [CTRL]+1 to single space, [CTRL]+2 to double space or [CTRL]+5 to set line spacing at 1.5.
     

Paragraph Spacing

With Paragraph Spacing, you can set additional space either above or below a selected paragraph.

               

Extra 12 pts

For instance, the text you are reading now is actually single-spaced with an added 12 pts of space added AFTER each paragraph.

You can see how, when the text jumps paragraph to paragraph, extra space is added to separate the paragraphs. However, when the current paragraph wraps line by line, the paragraph lines are separated by a single space.

Changing the Spacing Before or After Paragraphs
     
  1. Select the paragraphs you want to change
     
  2.  
  3. Choose Format on the Menu bar
     
  4.  
  5. Choose Paragraph…
     
  6.  
  7. Set the space in the Before and After boxes under Spacing
