Excel 2007: Inserting & Deleting Comments

Comments are a great way to add reminders about your worksheet data. Even though they remain hidden much of the time, comments act like sticky notes that contain information about your data that only appear on request – kind of like the Quick Format Mini Toolbar – it only shows up when it’s needed.

All of the comment-related commands that you’ll need to effectively work with comments can be found in the Comments group on the Review tab.

Inserting Comments

Once you decide which cells you need to flag with notes, getting those notes attached to specific cells is a piece of cake.

Inserting A Comment Using the Ribbon

     
  1. Select the cell that will contain the comment
     
  2.  
  3.  Click the New Comment command in the Comments group on the Review tab
      (Excel displays the name that appears in the Name box in the Excel Options)
     
  4.  
  5. Enter your comment text

    4.       Click another cell to hide the comment
(the comment can easily be displayed again by hovering your mouse over the red triangle in the upper-right corner of the cell)

Inserting A Comment Using the Shortcut Menu

     
  1. Right-click the cell that will contain the comment
     
  2.  
  3. Choose Insert Comment from the Shortcut Menu
     
  4.  
  5. Enter your comment text
      (Comment text can be modified if you select it, then use the formatting options in the Font group on the Home tab)
     
  6.  
  7. Click another cell to hide the comment
      (the comment can easily be displayed again by hovering your mouse over the red triangle in the upper-right corner of the cell)
     

Editing A Comment Using the Ribbon

     
  1. Select the cell that contains the comment you want to edit
     
  2.  
  3.  Click the Edit Comment command in the Comments group on the Review tab
     
  4.  
  5. Make your edits to the comment
     
  6.  
  7. Click another cell to hide the comment

  1. Right-click the cell that will contain the comment

Deleting Comments

Comments are in no way, shape or form permanent. And, they are just as easy to remove as they are to insert.

Deleting A Comment Using the Ribbon

     
  1. Select the cell that contains the comment you want to edit
     
  2.  
  3.  Click the Delete command in the Comments group on the Review tab
     

Deleting A Comment Using the Shortcut Menu

     
  1. Right-click the cell that will contain the comment
     
  2.  
  3. Choose Delete Comment from the Shortcut Menu
