Access 2007: Using Rich Text in the Memo Field

New to Access 2007 is the ability to use Rich Text in the Memo field. This simply means that you can now apply text formatting to the data you enter into a Memo field.

This formatting can be applied through both the Table and Form views. The formatting you can apply affects both individual characters (character formatting) and entire paragraphs (paragraph formatting).

Using the Font Group

In addition to the mini format toolbar that appears when you select text, you can use the commands in the Font group on the Home tab to format the data stored in your database.

The Font group contains commands for font face, font size, bold, italic, underline, font color, fill color, gridlines and left, center and right align.

Using the Rich Text Group

The Rich Text group is only available when you’re editing text in a field assigned the Memo data type.

The Rich Text group contains commands for increasing or decreasing the indent level, adding bullets and numbering, highlighting text and changing the text direction from left-to-right to right-to-left.

Applying Formatting Using the Mini Toolbar

     
  1. Click and drag to select the text you want to format
     
  2.  
  3. Move your mouse to the mini toolbar when it fades into focus
     
  4.  
  5. Click the formatting command you want to apply to the selected text

  1. Click and drag to select the text you want to format
     
  2.  
  3. Click the formatting command you want to apply to the selected text using the Font group on the Home tab
